Entomology Graduate Student Travel Grants

Rules for eligibility

Graduate students in Entomology, or IDP students with major advisors in Entomology or Joint in Entomology, will qualify for travel funds if they are presenting a poster or talk of their graduate research at a meeting. We note that there are other sources of funding for graduate student travel, e.g. the Graduate School and Sigma Xi, that would ordinarily grant larger travel awards. We strongly encourage graduate students to apply to these sources as well.

Application deadlines

Any meeting qualifies for travel funding. Ordinarily travel requests will be handled by the Graduate Chair, except in cases where there are more requests from eligible applicants than can be funded. If awards must be made competitively, the Graduate Chair will call a meeting of the Graduate Committee, who will then decide the awards. To be eligible for funding, students must contact the Graduate Chair at least a month before the meeting to tell him/her they will be applying for funds. The Chair will let the students know whether they are eligible and whether they are likely to receive a grant based on current demand. The application for funds will then be submitted by the student within a month following the meeting (see application process below).

Funding process

Following the graduate student recommendations, there will be two levels of support. Each eligible graduate student attending a meeting to present research results that applies for funding will ordinarily be granted at least $100 (unless for some reason more students apply than can be funded at this level). The second level of funding will be for master's or doctoral students at the end of their graduate school career. This would be more money (e.g. $250 or more) but would depend upon funds being available after the funding was allocated at the first level of support.

Application process

Upon returning from the meeting, for both levels of support, graduate students should submit to the Graduate Chair the following:

For the second level of support students should also include a short (1 paragraph) explanation of the research to be presented, and a short (1 paragraph) explanation of why this is an important meeting for student to attend. The last paragraph could include discussion of where the student is in his or her research career, what sort of contacts they expect to make at this meeting, why this meeting in particular is important for making these contacts, whether the presentation is an invited one, etc.

Part C)

Your award will be in the form of reimbursement of expenses. Therefore you will also need to write up a short description of your travel, including

Date and time you left Tucson
Means of transportation, including cabs, flights, buses, personal transportation
Lodging
Date and time you returned to Tucson
Other sources of funding and amounts paid.

VERY IMPORTANT: ATTACH ORIGINAL RECEIPTS for LODGING and/or TRAVEL if you are asking for reimbursement for these expenses. If other sources of funding have been used for these costs, you may request per diem meal costs (the office staff will calculate rates, and you will be reimbursed up to the amount the Department has allocated). The Graduate Chair will check over the request and then forward the information to the office staff (currently Rose Kilby). For reimbursement, Rose will contact you to sign a check request form, and then your reimbursement will show up on your pay check a few weeks later.
