Please welcome Katie Proctor (928-774-1868 ext. 22) at Coconino County
Office, effective date November 1. Her position is an Americorps volunteer
working with the KKONA program and with the Juga! program. Beverly Loomis
has left her position with their office and is now working at the State
Forest
Health Department of RNR.
I am pleased to announce that the Civil Rights Performance Plan for
2004-2008 is now available on line at
http://cals.arizona.edu/extension/employee/cecrpp2004-2008.pdf. This plan
primarily focuses on materials for Cooperative Extension but does relate to
Research and Academic Programs. The plan focuses on three civil rights
program goals: 1) ensuring participation of people in under represented
groups; 2) educating and involving faculty, staff and administrators in
civil rights program planning; and 3) advising all potential recipients of
program availability and Cooperative Extension's policy of equal access. It
also includes a revised version of the Annual Desk Audit which is also
available as a separate document at
http://cals.arizona.edu/extension/employee/annualdeskaudit.pdf. We are
suggesting that you print out and file a copy of both of these documents in
your central affirmative action/civil rights files. If you have questions
on either document, contact my office.
We are beginning to plan for an Annual Conference in 2004. Lucy Bradley,
Maricopa County, has agreed to chair the planning committee with support
from our office, particularly Lisa Lauxman, Sandra Saad and Ed Martin. We
are beginning to check out hotels and will probably look at the same time
frame (August 2004) as in 2002 since we can get a very reasonable room rate
at a high class hotel or resort. We are putting this information in TMN to
solicit your thoughts and ideas and request volunteers for the planning
committee. I strongly feel that we need an Annual Conference to facilitate
1) networking, 2) in-service programming opportunities, 3) mentoring of new
faculty, and 4) promoting "espirit de corps."
Cost Recovery - a question was brought up last week asking if a county could
open up a bank account for any cost recovery funds they might receive. The
answer can be found in our Program and Procedure manual at,
http://cals.arizona.edu/extension/employee/pandp/, Appendix Z. It states:
"All fees will be handled by staff at the local administrative level, and
must be deposited into a University 'Sales and Services' account assigned to
your unit (usually your Extension Miscellaneous or program account). No
matter how the monies are collected, it will be the responsibility of
Extension agents in charge of the educational program to ensure that the
funds are collected. The cost recovery work sheet will be maintained in the
county. The Distribution of Deposit (DDF) form will be submitted to CALS
administration or the Bursar's Office. The University will be responsible
for all activities associated with collection of bad checks (see Section
8.32 of the FRS Departmental Manual). University employees who handle cash
are
covered by a Board of Regents blanket bond. Temporary holding of cash or
checks collected by a unit is strongly discouraged. However, if temporary
holding of funds is necessary, such funds must be placed in a county safe.
University policies and procedures on cash/check receiving are outlined in
Section 8.10 of the FRS Departmental Manual
(see http://www.fso.arizona.edu/fso/deptman/8/810recpt.html). CALS
Administrative Services will assist you with questions regarding procedures,
and Extension Administration will monitor your deposits."
